What does eDoc Management do?

Everyday the robot will: 

  • Log in to your BMS system
  • Identify all new downloaded activities and documents
  • Read the key information that policy contains such as the effective date, policy number, document type, policy type, etc…
  • Rename the document with this key information according to your unique naming convention
  • Complete any final actions with the document that you want such as adding it to a folder, assign it to a person or work group, or closing it.

Can the eDoc Management capability identify insured copies of documents?

Yes, when required, the eDoc Management capability can understand whether it is a broker copy, insured copy, or mortgagee copy. This information needs to appear on the dec page. For some carriers, this is the case and the robot will recognize this and include it in the name. For other carriers, like Wawanesa, they will only send one copy so it doesn’t have a copy type stated.

How is the eDoc Management capability different from Epic’s naming functionality?

Epic’s naming functionality depends on CSIO codes and data sent from carriers, which is not always accurate, complete or specific. Quandri’s eDoc Management capability is reading and understanding the contents of PDF documents, determining the document type, choosing the relevant naming convention, and naming the document; as well as re-assigning the document accordingly. The naming capabilities are much more granular and you can access significantly more relevant data to name your documents.

Is eDoc Management available for personal and commercial lines?

eDoc Management is available for both personal and commercial lines.

Can the eDoc Management rename the activity as well?

Yes, eDoc Management can rename the activity with the name of the document. Some customers use this so that they are able to sort the activities on their home screen for more efficient processing. I.e. sort by effective date from soonest to furthest away so that they can work on higher priority documents first.

Can eDoc Management read manually scanned documents?

The eDoc Management capability can only read digital PDF documents, not scanned documents.

What happens when a carrier changes the format of their policies?

Often, these changes are interpreted automatically by our technology. Sometimes additional document training will be required. We have a team dedicated to keeping this aspect of the product up to date at all times. We are made aware of changes to documentation by our broker partners.

What does “number of activities that remain assigned to me” mean on the report?

You may see the following in your daily report: ”Activities that remain assigned to me: 2”

Activities may remain assigned to the bot after processing due to a few reasons:

  1. The robot was unable to access the client account due to the account being locked.
  2. The robot was unable to access the client account due to not having rights to the account.
  3. The robot encountered a bug.

The robot will try again on the activities the following day. If the bot was locked out of the account, most of the time it will be able to process the activity the following day. If it is due to not having rights to the account, a Quandri team member will reach out to discuss providing the robot with correct permissions to access the account. If the robot encountered a bug, an engineer will work on resolving this issue.

The number of activities that remain assigned to the robot are not included in the processing rate until they are processed.

How can the robot close activities after being renamed?

Navigate to the Activities Closed tab within the Activities section.

Select "Add Activities to Close" 

Input the relevant activity code that should be closed after processing and select "Add". 

All other activities will be processed, left open and assigned to the user code specified for the Default Assignee.

All exceptions will also be reassigned to the user code specified for the Exceptions Assignee.

How does the eDoc Management capability process items that do not come through the download?

The eDoc Management capability can only process activities that are assigned to it.

Why is the “Carrier” and “Document Type” field blank sometimes on the report?

This may occur when the robot is unable to classify the document or identify the carrier. These errors are automatically collected and reviewed by our engineering team and additional robot training will be conducted as necessary.

How are Service Summary Row (SSR) descriptions extracted?

Service Summary Row (SSR) descriptions are often used as a renaming variable for Endorsement and Cancellation documents. Given there may be multiple rows in the Service Summary table, the eDoc Management capability leverages data extracted from the PDF document to locate and identify the correct row from which to pull the description.

Service Summary Row Description Extraction Logic

eDoc Management will do the following:

  1. Extract the change effective date from the PDF document
  2. Refer to the Service Summary table in Epic and look for a row that has an effective date (”Effective Date” column) that matches the change effective date found on the PDF document
  3. Extract the description from the identified row

If there are multiple rows with a matching effective dates:

  1. Extract the statement date from the PDF document
  2. Select the row with a staged changed date (”Stage Changed” column) that is closest to the PDF statement date
  3. Extract the description from the identified row
