The second module the robot will complete is eDocs & Messages, which are electronic documents coming into Epic that need to be assigned to the correct policy.
First, the robot will reference its list of Policies that are still sitting in suspense. The robot will look at the Account Names and Policy Numbers, and if they match, it will not process that eDoc because the policy associated with that eDoc is not updated in Epic, since it wasn’t delivered from the suspense table.
If the eDoc’s policy is not sitting in suspense, it will use the suspense table similar to how it is used for Policies. The robot will first select Include: Policy history, and then select Locate. This will allow the robot to look for a policy in Epic with the same policy number that is coming through suspense.
There are two things that could happen once the robot selects Locate:
Policies populate in the bottom
At the bottom of the table, a populated policy means that that policy, or policies, have a matching policy number. Once the policies are matched, the robot then needs to verify that this is the correct policy to assign to by checking the effective and expiry dates:
- If the effective and expiry dates match the policy that is coming into suspense, the next thing the robot will do is ensure the Account Names match.
- If the effective/expiry dates and Account Name match, the robot would consider this the correct policy and would click the Assign button. This would assign the eDoc to the selected policy.
Note: Policies may populate in the bottom table but don’t match on effective/expiry date or Account Name. If this happens, the bot would follow the “No policies populate” workflow and go search for the customer using the Account Name.
No policies populate
If no policies populate, the robot will extract the Account Name, effective/expiry dates and ICO from the suspense table and then select Locate on the top navigation.
The robot will follow the same workflow as it does for Policies, by searching in Epic using the Account Name where one of two things will happen:
- If the robot finds a policy that matches: The robot will extract the Policy Number and Line, and will head back to the suspense table. The robot will then insert the correct Policy Number into the Locate by field, select the correct policy, and click Assign.
- If the robot doesn’t find a policy that matches: On the configuration form that your team fills out, you can tell us what they would like the robot to do should it not find the correct policy. You have three options:
- Assign to the account: If the robot can’t find the correct policy to assign to, it can assign the eDoc to the account instead by changing the Assign To dropdown to Account and selecting Assign.
- Assign to last term’s policy: The robot will find the previous term’s policy and assign the eDoc to that one. For example, the eDoc coming into suspense has effective/expiry dates of 03/11/2023 - 03/11/2024, and the robot will select the policy with effective/expiry dates of 03/11/2022 - 03/11/2023.
- Leave in suspense: If you want the robot to leave the eDoc in suspense, it would be considered an exception and it would be left for someone on your team to process.
Once all eDocs have been assigned to either the policy or account, the robot will Deliver the items the same way it does for Policies. Once items are delivered, the robot will log out of Epic, close the browser, then log back in to complete the final module: How does the Daily Download Capability Review Commissions?

Control Reports
The robot may come across Control Reports when processing eDocs (either the Account Name or Policy Number will indicate “Control Report”). During configuration of the robot, you can select how the robot handles Control Reports. You have three options:
- Delete them
- Leave them in suspense
- Attach to the carrier’s account
