How to configure interface settings
Leveraging Epic's structure options within the Interface (Download) and activity codes configuration allows for separate workflows for eDOCs received for Commercial and Personal lines renewals. This structure is critical for splitting workflows, as you’ll need to ensure that Commercial and Personal lines are properly divided using Departments in the interface configuration.
Key considerations for the split:
1. Review the Epic Structure:
- Ensure Commercial and Personal are defined as separate Departments. This will allow workflows to be automatically driven by the department level for each policy.
2. Activity Code Configuration:
- The split between Commercial and Personal workflows will primarily be driven by assigning separate activity codes to each line of business.
- Create distinct Activity Codes for each line of business.
3. CSIO Codes Mapping:
- When linking CSIO codes to Activity Codes, review how the carrier handles specific transactions such as Rewrites and Reissues.
- If the carrier uses Rewrites or Reissues to handle Renewals, ensure they are mapped to the Renewal Activity Code in Epic, so renewals are processed under the correct workflow.
4. Configuration for Multiple Companies:
- Changes can be applied either to all companies or selected ones.
- Once you configure for one company, use the Copy feature to replicate the configuration across other companies, simplifying the process.
Areas of Caution in Workflow Splits
1. Ripple Effects on Workflow:
- Changes to activity codes and department settings can have an immediate, broad impact on how files and tasks are routed. It may take 1-2 days for issues to surface, and resolving them can be a manual process. If not handled carefully, it could significantly disrupt business processes.
- It’s critical to fully understand the existing workflows, the people involved in each step, and the overall Epic configuration before making any recommendations.
2. Crossed Departmental Assignments:
- There are often Commercial policies incorrectly assigned to the Personal department (and vice versa). Making these configuration changes does not guarantee that commercial policies will not end up with the Renewal Reviewer.
- The setup of an account and the assignment of structure outside of brokerage best practice could cause a commercial renewal to be assigned to the Renewal Reviewer.
3. Handling of Special Cases (Rewrites, Reissues, Renewals):
- Some carriers use Rewrites or Reissues to process Renewals. Misconfiguration or misunderstanding of how these codes are linked can cause these transactions to be handled incorrectly, creating potential issues in workflows.
- Ensure that special cases are accounted for when mapping CSIO codes to activity codes, particularly if carriers deviate from standard practices.
Steps to Configuration Changes in Epic
- The first step is to create a new activity code or repurpose an existing activity code for the Commercial Renewal & Rewrite eDOCs that download. Have that activity code owner as the Commercial role/user that the eDOCs should be assigned to.
- Then move to the Interface & Company area of configuration. Select a company to update and edit that company.
- Select the eDOCS tab and move down to the “R” codes, highlighting the RED code and select the ADD icon. The available structure window opens, and here you can change the department to Commercial and select locate. Check the appropriate structure combination and click finish.
- In the eDOCs & Attachment screen, enter the new or repurposed activity code that will be assigned to Commercial eDOCs. Adjust other settings as per your brokerage's best practices and click Finish.
- These steps then need to be completed for the 8 other renewal CSIO codes.
- RNC, RNI, RRQ, RWC, RWI, RWL, RWN, & RWQ
- Once this has all been completed, you can now use the Copy function under Actions to copy to the appropriate carriers.
Examples of Interface Configuration
- This is how the Interface configuration looks with no customization. With this type of Configuration, the Renewal Reviewer will receive all eDOCs related to renewals.
- Adding custom configuration for Commercial policy, per each CSIO code with an activity code different from Personal Lines, will cause Epic to assign only the Personal Lines activities to the Renewal Reviewer.
